Generation of billing texts with a default. How to start?

Hey there,
i posting in the beginner forum because i have no clue where to start or what to use so i hope some of you can guide me into the right direction.

We are a service company and our technicans write texts in our system what they did on a appointment or on a remote help session. Since this texts are often technical or in bullet points. Our billing department must bring these texts into readable form for the customers.

We would like to use AI Support for this specific task and suggest a billing text on the input of a technican.

But how could we achive this? Do we need to train a complete text2text model on our dataset we already have or do we fine tune a LLM like ChatGPT / GPT3 or anything else?

To be more specific what we want to achive, here are two examples where the first part of the text is from one of our technicans and the second part is the billing text the customer gets.

Example 1:

Problem transmission Melag devices disrupted (both Vacuclav)
- Attempt to clarify the problem, on-site research/testing
- Check network for disruptions, replace/modify switch, test transmission (still disrupted)
- Check devices for possible network conflict (no apparent IP conflict)
- Verify Melag device settings, adjust IP settings gateway on both Vacuclav devices (not the cause of the problem)
- Backup data from CF card (manually using a card reader)
- Counter-test/reformat CF cards (no improvement)
- Clarify problem/error message: Data already present on CF card (not an error, rather a warning on the new devices indicating that data has already been stored)
- Test possible disruption of data transmission to FTP by Bitdefender (with Mr. Fidel, no disruption caused by Bitdefender)
- Clarify possible deactivation of warning message upon exporting to CF card with Melag support (not deactivatable according to support)
- Clarify/discuss problem of data transmission to FTP with Melag support (occurs with some datasets, version conflict between device software and FTP)
- Load/reinstall FTP software, switch to new version
- Reconfigure/connect devices to FTP
- Test export log to PC (successful, no errors)
- Perform Vacuclav function test + export log to FTP after maintenance (successful)
- Provide feedback to employee

- Check ifa print configuration (test form printing)

The Melag transmission was tested, and it remains disrupted. We investigated network disruptions and replaced the switch. The transmission was tested again, but it is still disrupted. We checked if other devices might be causing a network conflict, but there doesn’t appear to be an IP conflict. We verified the Melag device settings and adjusted the IP settings of the gateway on both Vacuclav devices, but this did not cause the problem. We manually backed up the data from the CF card using a card reader. We tested reformatting the CF card, but the problem persists. According to the error message, the data on the CF card is already present (not an error, rather a warning on the new devices indicating that data has already been stored). We ruled out transmission disruption caused by Bitdefender in collaboration with Mr. Fidel. We contacted Melag support and inquired about the possibility of deactivating the warning message when exporting to the CF card, but it is not possible. We discussed the FTP data transmission problem with Melag support. The problem occurs with some datasets and is caused by a version conflict between the device software and FTP. We reinstalled the FTP software and switched to the new version. We reconfigured the device connection to FTP. We successfully tested the Vacuclav function and the export of the log to FTP after maintenance. We provided feedback to the employee.
Dr. Meier reported that the printer in Room 4 is pulling paper from the wrong trays. We adjusted the Word settings for printer output and checked the ifa print configuration. We tested form printing.
Dr. Meier reported that the ifa menu layout in Room 4 has been altered. We assisted in adjusting the ifa menu layout.
We shared information about problem resolution with Ms. Samil and Ms. Jackson. We provided Dr. Miller with information about the functionality of Melag Vacuclav transmission (via voicemail).

Example 2:

  • Replacing the internal hard drive in Ms. Rossweid’s computer, including cloning the old drive onto the new one.
  • Checking the printer issues at the reception desk. It appears that the drum unit is defective as only magenta is not printing. However, if the magenta and yellow toners are swapped, magenta prints but there is no yellow.
  • Installing drivers for the Dazzle Video Grabber on the operating room notebook.
